Keep the QM manual up to date
Policies, procedures and manuals stay current because every document has a fixed review date and a responsible person. Previous versions remain traceable.
KenCube sends timely reminders for the next review. Everyone works with the valid version, including at the next audit.

Meet obligations with proof
New policies go straight to the right people and are confirmed with one click. You can see at a glance who has not confirmed yet.
Recurring inspections, such as cleaning or safety checks, are ticked off digitally. Every completed protocol also serves as proof.

Collect feedback and reports securely
Employee surveys show where things are going well and where they are stuck. Surveys can run anonymously, so people can answer openly.
The whistleblowing system lets employees report misconduct confidentially. The whistleblower stays protected and can still answer follow-up questions.

Compliance software for the Digital Workplace
Compliance & Quality Management is the add-on module of the KenCube Suite that lets companies fulfill and document obligations where employees already work: in the browser and in the KenCube‑app. Instead of maintaining lists, e‑mails and folders, approvals, inspections and records come together in one place. The individual building blocks can be activated as needed, for example agreements first and protocols or the whistleblowing system later.
Deliver policies and agreements with binding effect
Agreements bring policies, data protection or usage agreements to specific people or groups and collect their consent, either optionally or as a requirement. Those responsible can see at any time who has confirmed and who has not yet.
Keep the QM manual and ISMS current with reviews
Documents and posts in the core modules are already versioned, with optional editorial approval. Reviews add a fixed review cycle to this content, send reminders for upcoming content checks and escalate overdue ones. This keeps the QM manual, ISMS or data protection manual permanently up to date.
Document recurring inspections with protocols
Protocols document recurring tasks and inspections, from the weekly cleaning confirmation to an inspection form with photos and signature. Protocols are created automatically on a set schedule or as needed, and submissions can be returned for correction. For each protocol folder, those responsible can see how punctually work was done over the last 30 days. Optionally, a second person reviews the submission. The archive and PDF output provide the evidence for the next audit.
Run anonymous employee surveys
Surveys collect feedback from the workforce, anonymously or personalized as required. Results can be filtered by group and analyzed as charts.
Receive whistleblower reports confidentially
The integrated whistleblowing system receives reports confidentially and, if desired, anonymously. Follow-up questions remain possible in both directions without the whistleblower having to reveal their identity. This helps companies set up an internal reporting channel under the German Whistleblower Protection Act (HinSchG) or the Austrian HinweisgeberInnenschutzgesetz, without an additional external system.

With KenCube, we have our central system. We have even moved our ISMS and our data protection manual into KenCube because it is so easy to maintain and so cleanly documented. It makes work fun.

Compliance & Quality Management FAQ
What does compliance mean in a digital workplace?
Compliance in a digital workplace means delivering binding content to the right people, documenting consent and acknowledgment, and providing evidence of recurring obligations, all in the place where employees already work. Instead of separate tools, email distribution lists and spreadsheets, agreements, reviews, protocols, surveys and reports come together on one platform.
In KenCube, this is handled by Compliance & Quality Management. The add-on module can be added to the KenCube Suite at any time and uses the same users, permissions and data as the core modules. Those responsible can always see the current status.
What is the difference between a read receipt and an agreement?
A read receipt documents that a post, a document or a new version has been acknowledged. It is part of the Communication & Knowledge Hub and is therefore already available in the core modules.
An agreement goes further. It delivers a policy in a binding way and obtains optional or mandatory consent, for example for a privacy or terms of use agreement. Employees can accept, sign off or decline. In both cases, it is easy to see who has already confirmed and who is still outstanding, so targeted reminders can be sent.
How do reviews keep a quality manual up to date?
Reviews define who checks which content and how often. KenCube reminds the responsible people of upcoming reviews and escalates overdue ones, so no document becomes outdated unnoticed.
The core modules provide the foundation. Documents and posts are versioned there and, if desired, are only published after editorial approval. This brings document control and audit evidence together in one place, for the quality manual as well as for an ISMS or a data protection manual.
How can recurring inspections be documented with protocols?
Protocols map recurring tasks and inspections as forms, for example safety walk-throughs, maintenance or hygiene checks. A schedule defines when a protocol is due. The person carrying it out completes it in the browser or in the KenCube app, adds photos and signs digitally.
If desired, a second person reviews the submission. The protocol dashboard shows what is done, open or overdue. Completed protocols are stored in the archive and can be exported as PDF, providing audit-proof evidence for internal and external audits.
How does a whistleblowing system work under whistleblower protection law, and when is an internal reporting channel mandatory?
The German Whistleblower Protection Act (HinSchG), and its Austrian counterpart (HSchG), generally require companies with 50 or more employees to set up an internal reporting channel. Reports of misconduct are received there confidentially, handled by authorized people and answered within the required deadlines.
The Whistleblower Tool integrated into KenCube provides a protected channel for this. Employees can report confidentially or anonymously, and follow-up questions remain possible in both directions without anyone having to reveal their identity. This means the internal reporting channel can be run directly on the platform, without additional external software.
Can anonymous employee surveys be run in line with works council requirements?
Yes, if the survey is designed accordingly. Surveys can be conducted anonymously or on a personalized basis. In anonymous surveys, responses are evaluated without any link to individual people. This makes it easier to reach agreement with the works council and encourages honest feedback.
Evaluation by group, with filters and charts, shows differences between locations, divisions or teams. The result is a meaningful picture of employee sentiment on the same platform that employees already use in the browser and in the KenCube app.
