MEET OBLIGATIONS | REVIEWS & PROTOCOLS

Reviews keep content in KenCube up to date, and protocols provide evidence of completed inspections and tasks. Both run on a schedule, with reminders and traceable records.

Reviews for up-to-date content

• Review cycle per workspace, for example annually
• Content owner per item, with handover and deputy
• Automatic reminders, staggered over several days
• Status from "current" to "overdue", visible directly on the post
• Confirm, revise or archive with one click
• Overview with charts for area managers

In practice: Production work instructions are reviewed every year. When the interval expires, the responsible supervisor receives a reminder. She confirms most instructions with one click and revises two of them.

Scheduled protocols

• Protocol templates with their own form, including photos and signature
• Daily, weekly, monthly or annual intervals, or event-driven
• Groups and folders with assignees and responsible persons
• Due protocols as a task, with notification
• Fill in directly on site in the KenCube‑App

In practice: Facility management inspects all fire extinguishers every month. On the first of the month, the protocol appears as a task in the app. The technician checks off each device on site, photographs the inspection seal and signs.

Review and evidence

• Each submission checked by a second person if required
• Return for correction with a comment
• Punctuality over the last 30 days per folder
• PDF output for audits and authorities
• Protocols only for people listed in the folder
• Search submitted protocols, including the answers

In practice: Before the hygiene audit, the kitchen manager creates a PDF of all cleaning protocols from the last quarter. She had previously returned one protocol with missing information for correction, and it has since been completed and checked.
