MEET OBLIGATIONS | AGREEMENTS & POLICIES
With agreements, KenCube delivers policies, works agreements and consents in a binding way and collects confirmation if required. Every version and every confirmation remains documented and traceable.
Creating agreements
- As text, as a link or as a form
- Forms with yes/no questions, choice fields, date or file upload
- Attachments and content per language
- Recipients: everyone, specific groups, individual people or tenants
- Displayed on the login panel, under "Info & Help" and always in "My Area"
In practice: HR uses a form to ask employees whether they agree to their photo being published in KenCube. They answer with a yes/no question, and the answers are then available for each person.
Confirming and signing
- Agreement with or without confirmation
- Mandatory pop-up after login
- Digital signature where required
- Revocation in "My Area", with a message to the responsible people
- Notification of everyone concerned on release
In practice: The new IT usage policy must be confirmed before work can continue. After login, it appears as a pop-up with a signature field. Only then can people continue in KenCube.
Versions and records
- Edit a new version while the current one stays online
- Request renewed confirmation when a lot has changed
- Status per person: confirmed, pending, older version confirmed or revoked
- Filter by status and confirmed version
- Excel export of confirmations, including the answers for forms
- View your own agreements at any time in "My Area"
In practice: After an audit, the data protection policy changes on an important point. The compliance officer requests renewed confirmation for the new version. The export shows her who has already confirmed and who has only confirmed the old version so far.
Required modules
Agreements are part of the add-on module Compliance & Quality Management. All add-on modules can be added at any time and rolled out step by step.
