GET REQUESTS DONE | INTERNAL SHOP
KenCube's internal shop handles orders within the company, from workwear and office supplies to promotional items and meals. This page shows what can be set up and how orders are processed.
Catalog and items
- Items with images, description, item number and categories
- Variants based on two attributes, such as size and color
- Separate images per option, for example per color
- Visibility and ordering rights per item for groups or individuals
- Stock level per variant with a warning when stock runs low
- Maximum quantity per order and expected delivery time
In practice: A manufacturing company offers safety shoes in all sizes. If the stock of size 43 falls below the set limit, purchasing automatically receives a message.
Ordering
- Shopping cart with choice of variant and quantity
- Required and additional fields in the cart, for example for a cost center
- Status under "My Order Requests", cancellation depending on status
- Pickup point with address, opening hours and contact
- Notification as soon as the goods are ready for pickup
In practice: On his first day, a new field sales employee orders a jacket and a polo shirt in his size. As soon as both are ready, he receives a message with the opening hours of the pickup point at his site.
Budgets, prices and cost allocation
- Budgets as an amount of money or quotas as a number of items, per group or person
- Freely selectable budget period from 1 to 24 months
- Company order, budget order or private order
- Sales price, reference price to raise cost awareness or no price at all
- Report per person for internal cost allocation
In practice: Every nurse has an annual quota of five sets of work uniforms. The cart shows how many of them are still available. Additional items can be paid for privately as a private order.
Order processing in the team
- Order managers per supplier and per pickup point
- Automatic notification for new orders
- Status levels from "New order request" through "Ready for pickup" to "Completed"
- Filter by supplier, pickup point, person and time period
- Order on behalf of another person
In practice: Facility management looks after tools and consumables, marketing handles promotional items. Each team processes the orders of its own suppliers. For colleagues without their own KenCube access, the warehouse enters the order directly.
Meal ordering
- Menu with image, price, allergens and dietary type
- An in-house cafeteria or an external provider per site
- Order deadline and cancellation until the order cutoff
- Order directly from the dashboard
- Consolidated list by email to the kitchen or supplier, as a PDF on request
In practice: At a site without a canteen, a caterer delivers three times a week. Orders can be placed until 10 a.m. the day before, after which the consolidated list is sent to the supplier automatically.
Required modules
The internal shop and meal ordering are part of the add-on module Self-Service with Ticket System. All add-on modules can be added at any time and rolled out step by step.
